Booking your hotel room
We do this for you, as long as you tell us your arrival and depature dates and times at least twelve weeks before the first day of the event, after which time we cannot guarantee an hotel room or our special price for you. The rooms cost ¥22,145 per night for a single room and ¥28,120 for two people.
We will confirm your booking by email - you do not need a booking reference number. Cancelling within 28 days of the event will mean a charge of one night's accommodation.
Forwarding materials to the hotel

Mark your materials "Information materials for conference" and give the insurance value as zero. This will help avoid customs delays and taxes. Check with your courier company that the materials have been delivered successfully before you leave home.
Make sure that your materials don't arrive more than seven days before the start of the workshop.
Around the hotel
The hotel is near Tokyo's main business districts, government offices and shopping areas and a five-minute walk from Roppongi, a well known area for nightlife in Tokyo.

Tokyo Station, the main rail station, is 10 minutes away by taxi.
Visas
As of May 2004, Japan concluded general visa exemption arrangements with 59 countries, as shown in the chart at www.mofa.go.jp/j_info/visit/visa/02.html#a
If your passport hasn't been issued by one of these countries, you will need to visit a Japanese Embassy. Allow at least two months for your visa to be processed.

Making appointments with agents
All meetings are arranged using Meeting Manager. At least four weeks before the conference begins you will be able to view the delegate lists. To access Meeting Manager go to www.hothousemedia.com/mm. Simply enter you username and password (which is the same for all Alphe's) and then select the conference in question. If you have forgotten your username and password use the "Forgot Password". Once in the correct conference environment, select those that you would like to meet and send an email request. If that delegate wants to meet with you they will select an empty appointment slot on your personal agenda and the meeting is arranged and confirmed
Appointments
You will meet dozens of people, so bring a camera and a questionnaire with the main topics you want to cover. Remember, the real work will start when you get home - the follow-up is the most important part of workshopping, so don't let your contacts forget about you.
Events
During Alphe, there will be a complimentary reception after registration on the first night, with drinks available. There will also be a complimentary dinner in the hotel on the day 2.

Mobile telephones
Most mobile telephones (GSM) do not work in Japan. They operate CDMA (3G) services. However, mobile phones can be hired quite inexpensively from the arrival lounge at the airport, which you can put your own sim card into.
Airport
Tokyo International Airport, known as Narita Airport, is the city's newest and is about 90 minutes away by bus, depending on traffic.
Buses leave the airport every 30 minutes and stop at most of the major hotels. Or you can catch a bus directly to Tokyo train station and take a 10 minute cab ride to the hotel from there. The buses are about ¥3,000.
Trains to Tokyo train station, the Narita Express, leave every 30 minutes and cost about ¥3,000.
